Office Support Coordinator

About the RoleWe are seeking a highly organized and detail-oriented Office Support Coordinator to join our team. This is a full-time position with a competitive salary range of $22-$24 per hour, 40 hours per week. Additional pay may be available for overtime work.
Key Responsibilities- Manage incoming mail and electronic communications, ensuring timely distribution and coordination with internal teams and external departments.
- Order office supplies and maintain inventory levels to ensure seamless operations.
- Provide exceptional customer service through telephone and electronic inquiries, relaying messages and directing visitors as needed.
- Maintain accurate and up-to-date filing systems, both manual and computerized.
- Greet and direct visitors, ensuring a positive first impression for our company.
- Prepare minutes of meetings and arrange travel schedules, making reservations as required.
- Coordinate events and manage supply inventory to support business needs.
- Review and process supplier invoices for payment, ensuring accuracy and timeliness.
- Analyze data and statistics to support research activities, providing valuable insights for business growth.
- Lift and move objects weighing up to 25 pounds, demonstrating physical stamina and ability.
- Bookkeeping and payroll experience is an asset in this role.
- A one- or two-year college diploma or equivalent in administrative assistance, complemented by 4+ years of clerical experience.
- Bilingualism is highly valued in this position, enhancing communication with diverse stakeholders.
- A valid G-class driver's license and reliable transportation are necessary for this role.
- Excellent organizational and time management skills, enabling prioritization and multitasking.
- Superior communication and interpersonal skills, fostering strong relationships with colleagues and clients.
- The ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) is essential for success in this role.
