About the Role

We are seeking a highly skilled and organized Administrative Assistant to join our team at the Government of Nova Scotia. As an Administrative Assistant, you will provide administrative support to our Directors and staff, ensuring the smooth operation of our office.

Key Responsibilities
  • Prepare and edit routine and non-routine correspondence, reports, and presentations
  • Assess and prioritize mail and email, redirecting and/or responding as necessary
  • Support staff with external contracts and reporting
  • Coordinate electronic calendars to arrange meetings and travel schedules, handling logistical requirements
  • Handle divisional financial processes, ensuring proper procurement procedures are followed
  • Prepare agendas and accurate minutes, and assist with records management requirements
  • Perform reception duties, responding to and directing incoming calls and emails, and ordering supplies
Requirements

To be successful in this role, you will have:

  • Completion of a one-year business course, or an equivalent combination of training and experience
  • Advanced skills in MS Office Products, including Outlook, Word, Teams, Excel, and PowerPoint
  • Experience with Adobe Creative Cloud
  • Excellent data entry, proofreading, and grammatical skills
  • Well-developed prioritization, time management, and organizational skills
  • A critical thinking, self-directed learning, and problem-solving approach
  • A strong understanding of and commitment to equity, diversity, and inclusion
