About the Role

We are seeking a highly skilled and organized Administrative Assistant to join our team at The Government of Nova Scotia. As an Administrative Assistant, you will provide administrative support to our Directors and staff, ensuring the smooth operation of our office.

Key Responsibilities
  • Prepare and edit routine and non-routine correspondence, reports, and presentations
  • Assess and prioritize mail and email, redirecting and/or responding as necessary
  • Support staff with external contracts and reporting
  • Identify urgent items for the attention of the Directors or others
  • Coordinate electronic calendars to arrange meetings and travel schedules, handling all logistical requirements
  • Handle divisional financial processes and ensure proper procurement procedures are followed
  • Prepare agendas and accurate minutes, and assist with records management requirements
  • Perform reception duties, responding and directing incoming calls and emails, ordering supplies, and assisting staff with AV equipment setup for meetings
Requirements
  • Completion of a one-year business course plus three years of related experience, or an equivalent combination of training and experience
  • Advanced skills in MS Office Products, including Outlook, Word, Teams, Excel, and PowerPoint, as well as experience with Adobe Creative Cloud
  • Excellent data entry, proofreading, and grammatical skills
  • Well-developed prioritization, time management, and organizational skills to effectively manage competing priorities in a busy work environment
  • Critical thinking, self-directed learning, and problem-solving skills, with a strong understanding of and commitment to equity, diversity, and inclusion
