**Job Description: Medical Office Administrator**
**Department**:Aesthetic Clinic
**Reports to**:Owner/Clinic Manager
RxCosmetics is seeking a highly motivated, professional, and personable individual to join our established team.
**SUMMARY OF RESPONSIBILITIES**:
Responsibilities and essential job functions include but are not limited to the following:
- Provide administrative & customer service support to as needed, including answering phones, greeting clients, entering client data to electronic medical records and cashing out clients as required.
- Maximize clinic revenues by analyzing the day to day bookings, future bookings and coordinating schedules and services.
- Ensure smooth operation of reception, greeting and welcoming clients for services in a warm and friendly manner
- Be knowledgeable about the services and products available and to assist clients in selecting procedures and product that are right for them
- Assisting medical professionals with room set up, clean up, clinical photography, etc.
- Support retail sales and future sales by explaining offers to clients while checking them out.
- Handle customer concerns and or complaints with a confident ability to resolve the issue.
- Ensure the clinic is always in peak condition
- Assist with clinic housekeeping duties & laundry as needed
- Maintain inventory of supplies and retail for the clinic and complete ordering as required
- Maintain inventory and stocking of all reception materials and marketing materials.
- Liaison with industry representatives to ensure up-to-date information is available to clients and professionals
- Contact clients for follow-ups and notify the appropriate professionals of any questions or concerns.
- Liaison with potential and registered students of our training facility to ensure prompt replies and registration.
- Assist with general administrative duties including sending mail, visiting the bank, picking up required supplies, etc.
- High level of discretion and understanding of confidentiality related to the health care field.
**Pre-requisites**:
- Medical Office Administration Certificate an asset
