Halifax, Nova Scotia, Canada The Peoples' Counselling Clinic Full time

We are seeking a full-time (40 hours/week) administrative assistant to work primarily with our Executive Director to ensure effective operations of the clinic. We offer a living wage ($23/hour), health, dental, and vision plan, voluntary RRSP matching, and 3 weeks of paid vacation yearly (to be scheduled by the employee). We also offer 4 additional paid weeks off every year that are scheduled by the Executive Director to promote staff wellness. This position requires the adminstative assistant to be in office at our Quinpool Road location from 9am to 5pm, Monday to Friday. This aspect of the position is non-negotiable.

Responsibilities include, but are not limited to:

-Staffing the reception area and attending to people who arrive at the front entrance

-Scheduling appointments and managing the calendar of the Executive Director and Clinic Manager

-Liaising with students, staff, other professionals, and members of the public as directed

-Acting as a point of contact for the Executive Director

-Orienting new staff and students to the clinic space (logistics)

-Collecting data from clinicians about services accessed, and maintaining a master list of active clients of the clinic

-Responding to email and telephone messages daily by forwarding them to the appropriate staff members

-Coordinating staff scheduling of shared office spaces using an online system

-Invoicing for paid services (minimal)

-Filing and maintaining an archive of files for staff and students

-Coordinating board meetings, other staff meetings, and some social functions with clients

-Maintaing an email contact list and sending reminders to participants for some services

-Ordering or purchasing some supplies using agency credit card (minimal)
