Job Summary

The Human Resources Administrative Support role is responsible for providing administrative support to the Human Resources department. This includes a variety of tasks such as filing, data entry, and assisting with the preparation of letters.

Key Responsibilities

  • Receives and distributes mail and other correspondence.
  • Assists with the maintenance of the filing system and ensures that all documents are up-to-date and accurate.
  • Assists with the posting of employment opportunities using recruitment software and/or recruitment platforms.
  • Follows up on any outstanding paperwork for new employees and ensures that all necessary documentation is completed.
  • Assists with data entry and ensures that all information is accurate and up-to-date.
  • Assists with the preparation of letters and other correspondence.
  • Assists with the collection, organizing, and maintenance of various departmental records and information.
  • Photocopies and distributes materials as required.
  • Assists with the scheduling and testing of applicants on various software applications.
  • Participates in the Educational Assistant placement process.
  • Onboards new lunch program supervisors and crossing guards.
  • Provides back-up support to the Receptionist as needed.

Requirements

  • Grade 12 education or GED and administrative training or equivalent combination of skills and experience.
  • Proficiency with Microsoft Office (Word, Excel, and Outlook).
  • Minimum typing speed of 50 wpm.
  • Ability to maintain discretion with respect to sensitive or confidential information.
  • Strong organizational and time management skills, with the ability to work under pressure, multi-task, and prioritize.
  • Well-developed customer service skills.
  • Ability to work both independently and in a team environment.

Working Conditions & Physical Demands

  • Work is in an office environment.
  • May require long periods at a desk, standing for extended periods of time, and time in front of a computer.
