Job Description:

We are seeking an experienced Executive Office Coordinator to join our team at Boulevard Homes Real Estate Limited. In this role, you will provide administrative support to our team members and contribute to the smooth operation of our office.

Key Responsibilities:

  • Determine and establish effective office procedures and routines
  • Schedule and confirm appointments for team members
  • Manage contracts and ensure compliance with company policies
  • Provide exceptional customer service through telephone and electronic inquiries
  • Compile data, statistics, and other information to support business decisions
  • Oversee the preparation of reports and maintain accurate records
  • Order office supplies and manage inventory levels
  • Support payroll administration and ensure timely payments
  • Arrange travel itineraries and make reservations as needed
  • Greet clients and visitors, directing them to the appropriate contacts or service areas
  • Type and proofread correspondence, forms, and other documents
  • Perform data entry tasks accurately and efficiently
  • Plan, organize, direct, control, and evaluate daily operations to ensure seamless execution

Requirements:

  • Prior experience in a real estate or administrative role (1-2 years)
  • College education or equivalent non-university certificate/diploma
  • Strong knowledge of Google Docs, MS Excel, MS PowerPoint, MS Word, QuickBooks, Adobe Acrobat Reader, Google Drive, LinkedIn, and Xero
  • Excellent communication, organizational, and time management skills
  • Ability to work independently with minimal supervision
  • Attention to detail, accuracy, reliability, and accountability
