Position Overview:

We are currently seeking an enthusiastic individual to join our team as an Administrative Operations Coordinator. This role is pivotal in providing essential support to our management team and ensuring the smooth operation of our office environment.

Key Responsibilities:

  • Welcoming and assisting all visitors to our facility.
  • Managing incoming calls with professionalism and courtesy.
  • Directing calls to the appropriate personnel or departments.
  • Offering administrative assistance across various departments as needed.
  • Overseeing the inventory of office supplies and maintaining office equipment.
  • Handling the distribution of incoming correspondence, including mail and shipments.
  • Preparing outgoing mail and packages.
  • Keeping Employee Communication Boards updated regularly.
  • Coordinating lunch orders and special requests for employees.
  • Supporting the Accounts Payable department as required.
  • Assisting the Controller with job costing and data entry tasks.
  • Managing security software and employee identification processes.
  • Compiling daily and weekly reports for management review.
  • Aiding in the organization of facility events and employee engagement initiatives.
  • Ensuring compliance with safety and regulatory standards.
  • Performing additional duties as assigned to support operational efficiency.

Qualifications:

  • A secondary school diploma or equivalent is required; preference for candidates with some post-secondary education.
  • Previous experience in an administrative or office role is essential.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience with data entry and record-keeping.
