We are currently looking for a dedicated individual to join our team as:

ADMINISTRATIVE OPERATIONS COORDINATOR

In this role, you will report directly to the Human Resources Manager and will be responsible for a variety of office management tasks, including handling incoming communications and providing essential support to the management team.

Key Responsibilities include:

  • Welcoming all visitors to the facility with professionalism.
  • Managing incoming calls and directing them to the appropriate personnel.
  • Offering administrative assistance across various departments as needed.
  • Maintaining inventory of office supplies and ensuring the functionality of office equipment.
  • Processing and distributing incoming correspondence, including mail and shipments.
  • Preparing outgoing correspondence efficiently.
  • Updating Employee Communication Boards regularly.
  • Coordinating lunch orders and employee recognition gifts.
  • Providing support to the Accounts Payable department as necessary.
  • Assisting the Controller with job costing and data entry tasks.
  • Overseeing the Kantac Security Software System and managing employee ID badge issuance.
  • Compiling daily and weekly reports for the VP and other management personnel.
  • Supporting the planning of facility events and employee engagement initiatives.
  • Managing contractor compliance through the WSIB website.
  • Entering purchase requisitions in the designated system as required.
  • Collaborating with the HR Manager on various administrative functions.
  • Preparing necessary documentation for employees traveling for business.
  • Tracking labor hours and costs using the designated reporting systems.
  • Providing backup support to the Customs & Outsourcing Coordinator.
  • Assisting with health and safety committee activities and emergency response planning.
  • Ensuring compliance with ISO standards and company policies.
  • Participating in audits and supporting corrective actions as needed.
  • Fostering a collaborative team environment.
  • Maintaining a clean and safe workplace at all times.
  • Completing additional tasks as assigned.
  • Ensuring that all departments have the necessary resources for training and safety.
  • Supporting colleagues to enhance operational success and customer satisfaction.

MINIMUM EDUCATION/WORK EXPERIENCE REQUIREMENTS:

  • A secondary school diploma or equivalent is required, with preference for candidates who have completed some college-level coursework.
  • Prior experience in an administrative or office role is essential.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience with data entry is necessary.
