The HR Assistant will work 35 hours per week, primarily in our Westshore office with the flexibility to work in our Sooke office as well. **This is a 1-year term position until November 2025.**

Wage: $29.16 to $30.04/hr.

WorkLink has provided government-sponsored employment services to the residents of the Victoria Capital Region’s Westshore (Colwood, Langford, Highlands, View Royal, and Metchosin) since 1978. In 2008, our services expanded to include the communities of Sooke and surrounding areas including Jordan River and Port Renfrew. We are also pleased to provide Indigenous outreach services to the First Nations Communities of Beecher Bay, T’Souke, and Pacheedaht. Our non-profit organization is funded through both federal and provincial government initiatives. WorkLink is a registered charity in the Province of BC, which is governed by a volunteer Board of Directors chosen from leaders in the community.

**Key Responsibilities and Duties**:

- Assist in creating HR documentation and correspondence.
- Prepare materials for interviews, orientations, training sessions, performance evaluations, and meetings as required.
- Maintain an up-to-date Human Resource Information System (HRIS).
- Maintain organized employee personnel files, ensuring the confidentiality and privacy of information.
- Assist employees with questions about the organization’s policies and procedures.
- Coordinate onboarding and offboarding procedures.
- Assist with development of employee engagement initiatives and play an active role in the Social Committee.
- Assist in coordinating the Joint Occupational Health and Safety Committee.
- Assist with enrollment and administration of employee health benefits.
- Assist with the development and administration of employee training and certification programs.
- Maintain an accurate record of completed and pending employee performance evaluations.
- Other duties as assigned by the immediate supervisor or Executive Director.

**What We’re Looking For**:

- Degree or Diploma in Human Resources studies and two years’ related experience in a Human Resources role, or an equivalent combination of education and experience.
- Sound knowledge of applicable legislation, including the Employment Standards Act and BC Human Rights Code.
- Professional, positive and effective written and verbal communication skills.
- Highly proficient in MS Office (Excel, Word, Outlook).
- Able to prioritize tasks, demonstrate initiative, and manage tight deadlines while working independently.
- Proven attention to detail when reviewing and preparing documentation and recording information.
- High level of integrity with the ability to uphold and maintain confidentiality.
- Able to establish and maintain positive working relationships using excellent active listening skills.
- Able to evaluate situations and make objective decisions using well-developed critical thinking skills.
- Ability to work respectfully and cooperatively with others to achieve common goals.
- Receptive to feedback and committed to continuous improvement.
- Knowledge of HR Information Systems an asset.
- Experience using Sharepoint and Payworks is an asset.
- Valid BC Driver’s license for occasional work-related travel.
- Preference will be given to those who have or are pursuing the CPHR designation.
