We are seeking a highly organized and versatile Administrative Coordinator and Project Manager to join our team and support various administrative functions, project management initiatives, and reception duties.

Henry’s Tempeh is supported by a dedicated team of Tempeh enthusiasts, building over 20 years of success within the ever-expanding plant-based protein category. We are Canada’s largest Tempeh manufacturer dedicated to producing premium refrigerated organic and gluten-free Tempeh - to meet the strong and growing demand for delicious, innovative, versatile, healthy, sustainable plant-based protein foods.

**Administrative Responsibilities**:
1. Office Management: Oversee day-to-day operations of the office, including managing supplies, equipment, and facilities.

2. Calendar Management: Coordinate appointments, meetings, and travel arrangements for executives and team members.

4. Document Management: Maintain electronic and physical filing systems, ensuring accuracy, organization, and confidentiality.

5. Data Entry: Input and update information accurately into company databases and spreadsheets.

6. Expense Reporting: Assist with expense tracking, reimbursement processing, and budget management.

7. Vendor Relations: Liaise with vendors and service providers, negotiating contracts and managing agreements.

8. Administrative Support: Provide general administrative support to various departments as needed.

**Project Management Responsibilities**:
1. Project Planning: Collaborate with cross-functional teams to develop project plans, timelines, and milestones.

2. Resource Allocation: Coordinate resources, including personnel, materials, and equipment, to ensure project success.

3. Progress Monitoring: Track project progress, identify risks and issues, and implement corrective actions as necessary.

4. Communication: Facilitate communication among team members, stakeholders, and management regarding project status, updates, and deliverables.

5. Quality Assurance: Ensure that projects meet quality standards, regulatory requirements, and customer expectations.

6. Documentation: Prepare project documentation, reports, and presentations for internal and external stakeholders.

7. Continuous Improvement: Identify opportunities for process optimization, efficiency improvements, and cost savings.

**Reception Duties**:
1. Front Desk Management: Greet visitors, answer phones, and direct inquiries to the appropriate departments or personnel.

2. Visitor Coordination: Schedule appointments, meetings, and facility tours for visitors and guests.

3. Mail Handling: Sort and distribute incoming mail and packages, as well as manage outgoing shipments.

4. Customer Service: Provide friendly and professional assistance to customers, clients, and business partners.

5. Facility Appearance: Maintain a clean and organized reception area, ensuring a welcoming atmosphere.

**Qualifications**:
⦁ Bachelor's degree in Business Administration, Project Management, or related field preferred.

⦁ Proven experience in administrative support, project management, and/or receptionist roles.

⦁ Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and project management tools.

⦁ Excellent organizational skills with a keen attention to detail and accuracy.

⦁ Strong communication, interpersonal, and customer service skills.

⦁ Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.

⦁ Flexibility to adapt to changing priorities and responsibilities.

⦁ Knowledge of food manufacturing industry regulations and standards is a plus.
