Job Description:

The Event Coordinator Specialist will be responsible for managing all inbound business through the event cycle of service. This involves thorough and detailed communication with clients, utilizing tools like Delphi and Social Tables to ensure accurate event details are shared.

The successful candidate will provide exceptional service, ensuring clients return each year. They will also educate clients on other venues within the O&B portfolio.

Key Responsibilities:
  • Create and maintain relationships with new and current clients
  • Communicate with clients, gather event details, prepare packages, and send confirmation details
  • Closure of leads using sales tools, including proposals, site tours, and planning meetings
  • Follow-up with clients after events to create opportunities for new bookings and increase client satisfaction
  • Deliver superior customer service through client feedback and repeat events
  • Maintain attention to detail and identify important questions to ask when planning an event
  • Manage time effectively to meet deadlines for BEOs and respond efficiently to client requests
  • Contribute to annual sales targets and produce accurate forecasts
  • Collaborate with team members to achieve venue goals
  • Identify great business opportunities and present them to management for negotiation
Requirements:

To succeed in this role, you should have:

  • Minimum 2 years' experience coordinating various events
  • Prior understanding of equipment and event rentals is an asset
  • Prior administrative experience and exposure to marketing and sales is an asset
  • Proven ability to work in a team environment with self-motivation and independent work ethic
  • Excellent oral and written communication skills
  • Proficiency in MS Office (Word, Excel, Outlook, and PowerPoint)
  • Fanatical attention to detail and strong organizational skills
  • Ability to multi-task and maintain a level of professional urgency and momentum
