Overview


IDRC - CRDI is a leading organization in international development research, and we are seeking an experienced Strategic Administrative Assistant to join our team. As a key member of the President's Office, you will play a critical role in ensuring the efficient and effective management of our daily operations.


Job Summary


We are looking for a highly skilled and organized individual with at least 10 years of experience in a similar role, preferably supporting a senior official in the public or private sector. Your expertise in planning, organizing, and coordinating daily activities, as well as your proficiency in digital tools, will be essential in maintaining operational excellence in our fast-paced environment.


Main Responsibilities


As our Strategic Administrative Assistant, you will be responsible for:



  • Managing the President's agenda and calendar, prioritizing tasks, and ensuring timely completion of projects
  • Coordinating travel arrangements, accommodations, and other logistical requirements
  • Monitoring and compiling information for daily briefings, aggregating issues coming into the President's Office, and analyzing data for informed decision-making
  • Liaising with internal and external stakeholders, screening correspondence, and providing recommendations on responses
  • Developing and implementing procedures to maintain operational excellence and improve efficiency

Requirements


To be successful in this role, you will need:



  • A post-secondary education in a field relevant to the position
  • Proficiency in English and French (reading, writing, and speaking)
  • A minimum of 10 years of experience in a similar role, with at least 5 years in support of a senior official in the public, private, or not-for-profit sectors
  • An in-depth understanding of administrative and operational procedures, with hands-on experience in planning, organizing, and coordinating daily activities and travel logistics
  • Advanced skills in using digital tools, such as relationship management, budgeting, and Microsoft applications
  • Knowledge of IDRC - CRDI's mission and work, as well as a passion for international development research
  • Excellent communication and interpersonal skills, with the ability to establish and maintain relationships with diverse stakeholders
  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines
