Job Overview

In the role of Payroll Manager within Halton Healthcare's Finance division, you will oversee the precise internal payroll processing for a diverse workforce of approximately 5,000 employees, including full-time, part-time, and casual staff. Reporting directly to the Controller of Financial Services, you will lead a dedicated team of four professionals, ensuring strict adherence to payroll controls and confidentiality. Collaboration with the Human Resources department is essential to uphold the hospital's policies, collective agreements, and compliance with federal and provincial regulations.

Key Responsibilities:

  • Ensure accurate and timely bi-weekly payroll processing and reporting for around 5,200 employees.
  • Manage and mentor a team of four staff members, fostering professional growth and setting performance objectives.
  • Conduct month-end reporting tasks, including journal entry preparation and monthly account reconciliations.
  • Oversee the preparation of annual reconciliations and remittances for third-party entities.
  • Develop, update, and maintain all payroll department policies, procedures, and documentation as necessary.
  • Lead the annual payroll audit in collaboration with external auditors for all relevant entities.
  • Plan and execute internal payroll audits, reporting findings and implementing improvements.
  • Manage the implementation and maintenance of payroll system dictionaries and processing rules.
  • Provide organization-wide training as required.
  • Identify and spearhead process improvement initiatives and cross-functional projects.
  • Engage in ongoing professional development to stay informed on payroll, information systems, and financial management trends.
  • Conduct ad hoc analysis and reporting for management at all levels.
  • Perform additional duties as assigned.

Qualifications:

  • Payroll Compliance Practitioner designation is required; additional payroll certifications are advantageous.
  • A diploma or degree in a related field is mandatory.
  • A minimum of 7 years of progressive payroll experience is essential.
  • At least 3 years of management experience is required.
  • Proven success in a fast-paced, high-complexity environment is necessary.
  • Strong problem-solving skills and a solution-oriented mindset are crucial.
  • Demonstrated knowledge of financial reporting is required.
  • Proficiency in large ERP systems and intermediate Microsoft Excel skills; Meditech experience is a plus.
  • Excellent verbal and written communication skills, with the ability to engage effectively across all organizational levels.
  • Must possess innovation, attention to detail, and a proactive approach.
  • Strong analytical and organizational skills with the ability to prioritize and multitask in a dynamic environment are essential.
  • Experience in a hospital or large non-profit organization is preferred.
  • A satisfactory employment and attendance record is required.

Employment Status: Permanent Full-time

Work Schedule: Monday to Friday, with hours subject to operational needs.

Compensation: Competitive hourly rate based on experience.
