Job Overview

In the role of Payroll Manager at Halton Healthcare, you will be an integral part of the Finance team, overseeing the precise internal payroll processing for approximately 5,000 employees, including full-time, part-time, and casual staff. Reporting directly to the Controller of Financial Services, you will lead a dedicated team of four professionals, ensuring the integrity and confidentiality of payroll data. This position requires close collaboration with Human Resources to guarantee compliance with hospital policies, collective agreements, and applicable federal and provincial regulations. The payroll department serves all hospital locations, outpatient clinics, and associated organizations.

Key Responsibilities
  • Ensure accurate and timely bi-weekly payroll processing and reporting for approximately 5,200 employees.
  • Manage and mentor a team of four staff members, fostering professional growth and setting clear objectives.
  • Conduct month-end reporting tasks, including journal entry preparation and monthly account reconciliations.
  • Oversee the preparation of annual reconciliations and remittances for third-party entities.
  • Develop, update, and maintain all payroll policies, procedures, and documentation as necessary.
  • Lead the annual payroll audit in collaboration with external auditors.
  • Plan and execute internal payroll audits, reporting findings to management.
  • Manage the implementation and maintenance of payroll system dictionaries and processing rules.
  • Provide organization-wide training on payroll-related matters.
  • Identify and spearhead process improvement initiatives and cross-functional projects.
  • Engage in ongoing professional development to stay current with payroll, information systems, and financial management trends.
  • Conduct ad hoc analysis and reporting for management at all levels.
  • Perform additional duties as assigned.
Qualifications
  • A Payroll Compliance Practitioner designation is required; additional payroll certifications are advantageous.
  • A diploma or degree in a relevant field is mandatory.
  • At least 7 years of progressive payroll experience is essential.
  • A minimum of 3 years in a management role is required.
  • Proven success in a dynamic, high-volume work environment is necessary.
  • Ability to maintain a solution-oriented approach in challenging situations.
  • Strong knowledge of financial reporting practices is required.
  • Proficiency in large ERP systems and intermediate Microsoft Excel skills; Meditech experience is a plus.
  • Excellent verbal and written communication skills, with a customer-focused approach.
  • Must be innovative, detail-oriented, and possess a proactive mindset.
  • Strong analytical and organizational skills, with the ability to prioritize and multitask effectively.
  • Experience in a hospital or large non-profit organization is preferred.
  • A satisfactory employment and attendance record is required.
