Job Overview

As a vital member of the Finance department at Halton Healthcare, the Payroll Operations Coordinator plays a crucial role in the precise management of payroll for approximately 5,200 employees, including full-time, part-time, and casual staff, utilizing Meditech and API eScheduling systems. Reporting directly to the Payroll Manager, this position ensures the integrity and confidentiality of payroll information while collaborating closely with Human Resources to uphold compliance with hospital policies, collective agreements, and relevant legislation.

Key Responsibilities
  • Oversee the comprehensive bi-weekly payroll process, ensuring all payroll files are processed in a timely manner.
  • Reconcile and manage all statutory government remittances for Halton Healthcare and its Foundations, ensuring compliance with all legislative requirements.
  • Prepare and execute unscheduled deductions and payroll adjustments, maintaining adherence to hospital policies and collective agreements.
  • Collaborate with departmental timekeepers, providing necessary communications regarding payroll matters.
  • Audit employee file modifications submitted by Human Resources and process any necessary adjustments.
  • Deliver monthly payroll training sessions for timekeepers and management personnel.
  • Reconcile and prepare the bi-weekly audit file for review by the Payroll Coordinator and Controller.
  • Prepare and balance all monthly employee benefit accounts to the General Ledger.
  • Complete month-end payroll closing procedures, including journal entries and account reconciliations.
  • Manage the preparation of monthly pre-authorized payments for parking and benefits.
  • Assist the Payroll Manager during annual audits with external auditors for all related entities.
  • Reconcile pension deductions for each organization and coordinate with Human Resources regarding pension inquiries.
  • Prepare necessary documentation and payments for terminated employees and those on leave, ensuring compliance with legal requirements.
  • Engage in continuous improvement initiatives for payroll processes, including leading projects.
  • Work with Occupational Health to ensure accurate reporting for Short-Term and Long-Term Disability claims.
  • Support year-end processing and reconciliations.
  • Collaborate with Human Resources and the ICT Department on workflow creation, testing, and troubleshooting.
  • Serve as the primary contact for Meditech, ensuring system dictionaries are maintained and issues are resolved promptly.
  • Participate in ongoing professional development to stay current with payroll practices and related information systems.
  • Perform additional duties as assigned.
Qualifications

  • A Payroll Compliance Practitioner designation is required; additional payroll certifications are advantageous.
  • A diploma or university degree is necessary.
  • A minimum of 5-7 years of progressive payroll experience is essential.
  • Experience in a hospital or large non-profit organization is preferred.
  • Proven success in a fast-paced, high-complexity environment is required.
  • Strong problem-solving skills are essential when faced with challenges.
  • Demonstrated knowledge of financial reporting is required.
  • Proficiency in large ERP systems and intermediate Microsoft Excel skills; Meditech experience is a plus.
  • Excellent verbal and written communication skills, with the ability to engage effectively at all organizational levels.
  • Ability to work independently with minimal supervision.
  • Must be innovative, detail-oriented, and proactive.
  • Strong analytical and organizational skills, with the ability to prioritize and multitask in a dynamic environment.
  • Must be physically capable of performing tasks such as sitting, standing, walking, and occasionally lifting up to 20 lbs.
  • A satisfactory employment and attendance record is required.

Work Schedule: Monday to Friday – standard hours

Salary Range: Competitive annual salary
