Job Summary:

The WEBC Board Liaison & Executive Assistant provides comprehensive organizational operations and services to support the General Manager, the WEBC Board, and the Trustees of the ILWU Employer Association Employee Life and Health Trust, Waterfront Foremen's Life & Health Trust, Waterfront Industry Pension Plan, and the Waterfront Foremen's Pension Plan.

Key Responsibilities:

  • Liaise with relevant stakeholders to advance the initiatives of WEBC and the Trusts through participation in the development and implementation of best practices with plans, systems, processes, and procedures.
  • Manage executive administrative functions and board secretariat responsibilities, including acting as an administrative resource to the WEBC office and team.
  • Ensure accurate, secure, and effective document management for Trust records, accessible to all Trustees via a secure online portal.
  • Support with regulatory and policy compliance, and liaise with actuaries, auditors, investment managers, and monitors.
  • Provide administrative support to the General Manager, Pension Administrator, and Benefits Manager.
  • Manage office supplies, invoices, and expense claims within budget.
  • Ensure proper maintenance and functioning of office machinery.
  • Assist in team onboarding and general administrative tasks.
  • Support Pension and benefits processes, handle correspondence, prepare presentations and reports for the office and Management Team, and coordinate administrative functions for the office.

Requirements:

  • 5-7 years in an Administrative Assistant or Executive Assistant role, Office Management role, or equivalent education, training, and experience.
  • Diploma in commerce, business administration, or equivalent education and experience.
  • Significant experience in managing executive administration functions for a c-suite executive, executive team, and board.
  • Working knowledge of pensions and/or benefits is an asset.
  • Working towards or completion of CEBS designation is an asset.
  • Working towards or completion of Project management certification is an asset.
  • Ability to work full-time, five (5) days per week (8 hours per day) during regular business hours.
