Executive Administrative Assistant - OBGYN Division

The Children's & Women's Health Center is seeking a dedicated Executive Administrative Assistant to enhance the operational efficiency of our Department and Division. This role is pivotal in supporting our team in meeting clinical, academic, and research goals while ensuring adherence to organizational policies and procedures.

Given the sensitive nature of the information handled, the ideal candidate will exercise discretion and diplomacy at all times. The position demands strong initiative, sound judgment, and excellent problem-solving abilities, alongside exceptional communication skills. The ability to manage competing priorities and work effectively under pressure is essential.

Key Responsibilities

  • Manage and coordinate the Outlook calendar, process financial requisitions, and organize meetings, including booking travel arrangements.
  • Provide comprehensive administrative support to Department and Division members, including the management team.
  • Handle various forms of correspondence, both written and dictated, utilizing appropriate software applications.
  • Offer administrative assistance across the Department and Division as needed.
  • Attend and participate in meetings and training sessions as required.
  • Execute additional duties that support the objectives of the Department of Obstetrics and Gynaecology and the Division of Maternal Fetal Medicine.

Qualifications

  • Completion of Grade 12, along with graduation from a recognized administrative program and a minimum of three years of relevant experience in a healthcare setting.
  • Proven ability to work autonomously amidst frequent interruptions.
  • Strong multitasking skills and the capacity to prioritize effectively, demonstrating a high level of professionalism.
  • Flexibility to adapt to changing organizational priorities and meet tight deadlines.
  • Excellent verbal and written communication skills.
  • Proven ability to handle confidential and sensitive information with tact and discretion.
  • Physical capability to perform the duties associated with this position.

Skills & Knowledge

  • A commitment to fostering reconciliation in Canada, in line with the Truth and Reconciliation Commission's recommendations and BC's Declaration on the Rights of Indigenous Peoples Act.
  • Familiarity with the socio-economic and historical contexts affecting Indigenous Peoples, and an understanding of anti-racism initiatives.
