Executive Administrative Assistant - OBGYN Services

The role of the Executive Administrative Assistant is crucial in supporting the operational tasks of the Department and Division members, facilitating the achievement of clinical, academic, and research goals. This position requires active participation as a member of the administrative team while adhering to the policies and procedures of the Agency and Department.

Handling confidential information requires a high level of tact and discretion. The successful candidate will demonstrate initiative, sound judgment, and problem-solving abilities, alongside exceptional communication skills. The ability to manage competing priorities and work effectively under pressure is essential.

Key Responsibilities

  • Manage and organize the Outlook calendar; process financial requests, coordinate meetings, and arrange travel accommodations.
  • Provide comprehensive administrative support to Department and Division personnel, including management.
  • Draft and process various forms of correspondence from both written and dictated sources, utilizing necessary software applications.
  • Offer administrative assistance within the Department and Division as needed.
  • Attend meetings and training sessions as required.
  • Execute additional duties pertinent to supporting the Department of Obstetrics and Gynaecology and the Division of Maternal Fetal Medicine.

Qualifications

  • Completion of Grade 12, along with graduation from a recognized administrative program and a minimum of three years of recent relevant experience in a healthcare setting.
  • Ability to work autonomously while managing frequent interruptions.
  • Proven capability to multitask and prioritize effectively, maintaining a professional demeanor.
  • Flexibility to adapt to changes in organizational priorities and meet deadlines under pressure.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive information with the utmost confidentiality and discretion.
  • Physical capability to perform the duties associated with this position.

Skills & Knowledge

  • Commitment to fostering meaningful reconciliation in Canada, in alignment with the TRC and BC's Declaration on the Rights of Indigenous Peoples Act.
  • Familiarity with the social, economic, and historical contexts affecting Indigenous Peoples, and experience in addressing anti-racism and Indigenous Cultural Safety.

Salary Range: $$48,476 -$63,624 /year. The starting salary will be determined based on the successful candidate's relevant education and experience, in accordance with the provincial compensation reference plan.
