Administrative Support Specialist

As an integral part of PROARK CORPORATION, the Administrative Support Specialist will play a vital role in ensuring the smooth operation of our office environment. This position requires a proactive individual who can manage various administrative tasks efficiently.
Key Responsibilities- Education: Secondary (high) school graduation certificate or equivalent experience.
- Office Management: Determine and establish office procedures and routines.
- Event Coordination: Arrange and coordinate seminars, conferences, and meetings.
- Documentation: Record and prepare minutes of meetings, seminars, and conferences.
- Scheduling: Schedule and confirm appointments.
- Training Management: Manage training and development strategies.
- Communication: Answer telephone calls, relay messages, and respond to electronic inquiries.
- Data Management: Oversee the analysis of employee data and maintain filing systems.
- Customer Service: Provide exceptional customer service and respond to employee questions and complaints.
- Inventory Management: Order office supplies and maintain inventory levels.
- Travel Coordination: Arrange travel itineraries and make reservations.
- Staff Relations: Liaise with management, union officials, and HR consultants.
- Grievance Procedures: Organize staff consultation and grievance procedures.
- Operational Oversight: Plan, organize, direct, control, and evaluate daily operations.
The ideal candidate should possess proficiency in:
- MS Excel
- MS PowerPoint
- MS Word
This role requires the ability to work independently in a fast-paced environment, managing tight deadlines while maintaining attention to detail. The candidate should be comfortable with repetitive tasks and working under pressure.
Experience RequirementsWe are looking for candidates with 1 to 2 years of relevant experience in a similar role. This is a permanent position with a standard work schedule of 35 hours per week.
