About the Role:

This is an exciting opportunity to join Scotiabank's Estate and Trust team as a Regional Estate Coordinator. In this role, you will play a key part in supporting the Estate and Trust team in their efforts to deliver exceptional client service and drive business growth.

Key Responsibilities:

  • Support ETC Prospect Management: Ensure that new opportunities are properly captured and tracked within Salesforce, providing reporting and directing leaders and advisors towards reporting around leads.
  • Support the ETC Sales Process: Prepare file preparation (paper or digital) prior to discovery meetings with clients, including requesting the completion of the Estate Planning Questionnaire, copies of existing planning documents, and summaries of current financial holdings and beneficiary designations.
  • Quality Assurance Support: Ensure that all documentation and reporting is completed accurately, in full, and on time, supporting ETCs in submitting new business in good order.
  • Business Development and Advisor Education: Facilitate business development and advisor education opportunities, scheduling and confirming client appointments, and assisting ETCs in preparing for seminars and webinars.
  • Administrative Support: Provide administrative support to ETCs, including managing the flow of mail and couriers, ensuring that ETCs are well-stocked with necessary supplies, and triaging emails and requests.

Requirements:

  • Strong Analytical and Organizational Skills: Ability to analyze complex information and prioritize multiple requirements.
  • Proficiency in Microsoft Office and Salesforce: Proficiency in Outlook, MS Word, Excel, PowerPoint, and Salesforce.
  • University Degree or Equivalent: A university degree or equivalent in a related field.
  • Industry Knowledge: Knowledge of the Estate and Trust and/or wealth management industry.
  • Industry Accreditation: Industry accreditation, such as a Certificate in Estate and Trust Administration, is an asset.
  • Language Skills: Bilingualism (English-French) is an asset.
  • Attention to Detail: High attention to detail and solid follow-through capabilities.
  • Team Player: Excellent team player with the ability to work independently.
  • Initiative and Proactivity: Demonstrated initiative, proactivity, and sense of responsibility.
  • Service Excellence: Dedicated to service excellence for internal and external clients.
