Job Summary

We are seeking a highly organized and detail-oriented Regional Estate & Trust Administrator to provide administrative support to our Estate & Trust Consultants (ETCs) in driving new business and advisor engagement within their regions. As a key member of our team, you will be responsible for ensuring the smooth operation of our estate and trust planning activities, while maintaining a high level of client service, quality control, and operational efficiency.

Key Responsibilities

•    Support ETC prospecting and pipeline management activities, ensuring that new opportunities are properly captured and tracked within our CRM system.

•    Support the ETC sales process, including file preparation, correspondence with law firms, and follow-up with lawyers and clients.

•    Provide quality assurance support to ensure that all documentation and reporting is completed accurately, in full, and on time.

•    Facilitate business development and advisor education opportunities, including scheduling client appointments and preparing for seminars/webinars.

•    Provide administrative support to ETCs, including managing the flow of mail and couriers, ensuring that the ETC is well stocked with necessary supplies, and triaging emails and requests.

Requirements

•    Strong analytical, organizational, communication, and interpersonal skills

•    Proficiency with Microsoft Office and CRM systems

•    University degree or equivalent

•    Knowledge of the estate and trust industry and/or wealth management

•    Industry accreditation (Certificate in Estate and Trust Administration) would be an asset

•    Bilingualism (English-French) is an asset

•    High attention to detail and solid follow-through capabilities

•    Ability to prioritize several requirements at once and while under pressure

•    Excellent team player with the ability to work independently

•    Demonstrated initiative, pro-activity, and sense of responsibility

•    Dedicated to service excellence for internal and external clients

•    Ability to effectively manage change
