Job Summary

We are seeking a highly skilled Regional Estate Administrator to join our team at Scotiabank. As a key member of our Estate and Trust team, you will be responsible for providing administrative support to Estate and Trust Consultants (ETCs) in driving new business and advisor engagement within their regions.

Key Responsibilities
  1. Support ETC Prospect Management
  • Ensure new opportunities are properly captured and tracked within our CRM system.
  • Provide reporting and/or direct leaders and advisors towards reporting around leads.
  • Liaise with planning teams and Total Wealth Managers to ensure they have the necessary data to incorporate estate and trust planning into total wealth proposals.
Support the ETC Sales Process
  • Prepare files for discovery meetings with clients, including requesting completion of estate planning questionnaires and summaries of current financial holdings.
  • Prepare new business documentation, including fee agreements and account opening documentation.
  • Assist ETCs with sending correspondence to law firms and performing follow-up with lawyers and clients.
Quality Assurance and Administrative Support
  • Provide quality assurance support to ensure new business is submitted in good order.
  • Ensure all documentation and reporting is completed accurately, in full, and on time.
  • Support ETCs with immediate fee reporting.
Business Development and Advisor Education
  • Schedule and confirm client appointments, including road trips and meeting room logistics.
  • Assist ETCs in preparing for seminars and webinars, including organizing, registering participants, and managing logistics.
Administrative Support
  • Provide administrative support to ETCs, including supporting digital business efforts and managing the flow of mail and couriers.
  • Ensure ETCs are well-stocked with necessary supplies and provide support with coordination of meetings and travel arrangements.
Customer Focus and Risk Management
  • Champion a customer-focused culture to deepen client relationships and leverage broader Bank relationships, systems, and knowledge.
  • Understand how the Bank's risk appetite and risk culture should be considered in day-to-day activities and decisions.
Operational Efficiency and Compliance
  • Actively pursue effective and efficient operations of their respective areas in accordance with Scotiabank's Values, its Code of Conduct, and the Global Sales Principles.
  • Ensure the adequacy, adherence to, and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions, and conduct risk.

Requirements
  • Strong Analytical, Organizational, Communication, and Interpersonal Skills
  • Proficiency with Microsoft Office and Salesforce
  • University Degree or Equivalent
  • Knowledge of the Estate and Trust and/or Wealth Management Industry
  • Industry Accreditation (Certificate in Estate and Trust Administration) would be an asset
  • Working Knowledge of Legal Documents such as Wills, Trust Deeds, and Powers of Attorney is an asset
  • Bilingualism (English-French) is an asset
  • High Attention to Detail and Solid Follow-Through Capabilities
