The role of the Administrative Assistant is to provide administrative support to the President and CFO in the planning, management and coordination of administrative tasks.

**Responsibilities**:

- Plan business travel (reservations, itinerary and documentation);
- Ensure the rigorous maintenance of the agenda, the organization of meetings and the preparation of documents prior to meetings;
- Ensure the logistics and follow-up of various executive committee meetings and recurring meetings: send notices of meetings, reminders, track attendance, prepare and transmit necessary files, order food and beverages;
- Prepare and follow up on expense reports;
- Prepares letters, memos, presentations and other documents that may contain confidential information;
- Receive and direct visitors for management;
- Design and update various company presentations;
- Open and sort mail, follow up on management correspondence;
- Manage the online store and special orders from the supplier;
- Participate in the organization of special events such as the annual BBQ, the annual launch and the Christmas party;
- Support the other members of the executive committee when required;
- Perform any other related tasks such as managing time sheets and following up on group insurance reimbursements.

**Requirements**:

- College diploma or professional degree in administration;
- 7 to 10 years of relevant experience with senior management (President, CFO);
- Fluently bilingual, excellent knowledge of French and English, both written and spoken;
- Excellent grammar, spelling and writing skills;
- Excellent knowledge of MS Office Suite;
- Knowledge of Visio is an asset.
- Demonstrate good judgment, initiative, autonomy and discretion;
- Excellent communication and work organization skills;
- Demonstrate professional rigor.
