Our client, leaders in innovative lighting, LED video displays, and media solutions and controls are seeking a General Administrative Assistant. Their expertise is applied in a variety of remarkable projects worldwide ranging from architectural lighting, multimedia art installations, to music touring for top artists.
The General Administrative Assistant to provide day to day support to our operations team. This role will require attention to detail, strong organizational skills, and the ability to meet tight deadlines while managing multiple critical requests. A dynamic, flexible, and positive professional that works successfully in a team environment and builds effective and collaborative working relationships inside and outside the team.
**Responsibilities**:
- Provide efficient administrative support to the Operations Team and other employees.
- Perform administrative tasks such filing, photocopying, transcribing, and faxing.
- Generate reports, take meeting minutes, transcribe minutes, create presentations, and conduct research.
- Perform data entry.
- Formatting documents (Excel, Word, PowerPoint).
- Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
- Order department supplies and keep inventory of stock.
- Greet and assist visitors.
- Coordinating workspaces.
- Stay adaptable and flexible to the changing needs of the team, ensure high levels of confidentiality.
- All other tasks relevant to the project.
**Qualifications**:
- Technical Diploma in a relevant field.
- Minimum 1 year of experience in administrative assistant.
- Preferred field of experience: construction, technological deployment, or entertainment.
- Good working knowledge of Excel (formulas, pivot tables, macros).
- Good knowledge of office technology/automation.
- Excellent organizational skills.
- Excellent prioritization and time management.
- Patience and thoroughness.
- Ability to meet deadlines.
- Ability to work under pressure.
- Team player, sense of initiative while being autonomous.
- Ability to work in multicultural environments.
- Bilingual proficiency. (French & English)
- Fluency in Spanish, an asset.
