Administrative Assistant/receptionist

Victoria Speech and Language Centre is seeking a rockstar Reception/ Admin person. This is an entry-level position reporting directly to the Office Manager.
- We are a Speech-Language Pathology and Occupational Therapy private practice in Victoria, BC (Canada) and we are excited to add another rockstar admin assistant to our dynamic team We are proud to be a neurodiversity-affirming safe space that provides excellent evidence-based speech-language services and occupational therapy to children and adults._
**This is a full time position of 5 days per week.**
- Location: This role is in-person and time is shared between our clinic in Saanich and Colwood.
- Set days: Monday-Friday
- Hours: 8 hour shifts. Start time can vary between 8-8:30am.
**Duties and Responsibilities;**
- This position reports to the Office Manager at each location.
- Deliver five-star ethical and compassionate service to our clients and their families.
- Maintain and manage our waitlists and bookings.
- Be a master of our online booking system "Janeapp" and ensure efficiency by utilizing it to the best of it's ability.
- Onboard new clients.
- Understand and maintain confidentiality regarding patient records and information.
- Continuously manage and meet our clients expectations.
- Initiate and maintain relationships with all new, existing, and potential clients.
- Organize, prioritize and execute your workload.
- Consistently demonstrate our centre's core values and misson.
- Work collaboratively and harmoniously with the VSLC team; clinicians, managers and admin staff.
- General tidying of the office, therapy rooms and material storage areas.
- Assist client care coordinator with scheduling, onboarding and setting up funding for new clients as workload requires.
To ensure success in this role, we are also looking for someone with the following skills;
- Excellent customer service skills is a MUST You are dealing with many vulnerable families and their funding and many families with kids with special needs. Tactful and thorough communication with families and staff is key to success in this position. This position is much more than just coordinating
- Strong computer skills. Speed is an asset
- Exceptional interpersonal and communication skills, including strong phone skills.
- Excellent attention to detail.
- Fantastic time management.
- Strong organization.
- Extremely reliable and trust-worthy.

- An interest in the field of speech language pathology or occupational therapy is an asset but not essential.

Compensation ranges between $19-22 per hour, depending on your experience.
