L'Adjoint(e) Administratif(ve) travaille en étroite collaboration avec le Responsable Financier afin de s'assurer de la facturation de nos clients et de faire le suivi des comptes à recevoir. Il/elle s'assure du bon fonctionnement du bureau et des relations avec les fournisseurs et nos visiteurs, ainsi que le support aux équipes de production dans leurs déplacements.
**- Facturation**
- Est en charge de la facturation des clients, de la création de compte-clients dans le système comptable, du suivi des comptes à recevoir et de la mise à jour du CRM.
- Être le point de contact privilégié de nos clients pour tout ce qui concerne la facturation
**- Gestion du bureau**
- Est responsable des relations avec les fournisseurs (locaux, consommables, papeterie...)
- Gérer les déplacements des équipe de production (réservations d'avion, d'hôtel,...)
- Accueillir et diriger les clients, les fournisseurs vers les bonnes ressources à l’interne
- Toutes autres tâches connexes

**Qualifications**:

- diplôme collégial en administration (Technique Administrative)
- minimum 3 ans d’expérience dans un poste similaire
- trilingue autant à l’oral qu’à l’écrit (anglais, français et espagnol)
- proactif, autonome, rigoureux
- bon esprit d’équipe et sens du service à la clientèle
- Expérience de système ERP, CRM et logiciel de facturation Acomba ou autre
- Solides compétences en communication écrite et verbale.

The Administrative Assistant works in close collaboration with the Finance Manager to ensure the invoicing of our clients and to keep track of accounts receivables. He / she ensures the effective functioning of the office and is in charge of the relations with the suppliers and our visitors, as well as the support of the production teams in their travel booking.
**- Billing**
- Is responsible for billing clients, creating receivable accounts in the accounting system, following-up on payment recovery and updating the CRM.
- Be the privileged point of contact for our customers in all matters relating to invoicing
**- Office Management**
- Is responsible for suppliers relations (premises, consumables, stationery...)
- Manage the travel of the production team (reservations of plane, hotel,...)
- Welcome and direct clients, suppliers to the right internal resources
- Any other related tasks
- college degree in administration
- minimum 3 years’ experience in a similar position
- trilingual spoken and written (English, French and Spanish)
- must have a Customer First mentality - whether the customer is external or internal
- proactive and autonomous

- experience with ERP, CRM and with a Billing System software (ie. Acomba)
