DESCRIPTION

We are currently seeking an Office Manager to join the People & Culture team at Circle Medical Technologies. As we continue to grow, we constantly search for exceptional talent to join our team. This position is based out of our Montreal, Quebec, Office.

**WHAT YOU’LL DO**:

- Oversee the overall administration, organization and maintenance of our Montreal office, anticipating office support and resource needs for a growing in-person team and creating/maintaining systems that ensure a smooth running and connected in-office experience
- Welcome our guests and team members by providing a magical front-of-house experience and ensuring that general office areas are kept tidy, orderly and stocked
- Dazzle the team with planning and coordinating engaging and creative events like in-office lunches, company parties, happy hours, celebrations, annual offsites and other community and social events
- In collaboration with the People team, help in the onboarding experience for new hires, making sure everything is ready for their first day, support the maintenance of employee files, and assist with onboarding activities
- Book travel and accommodation for team members out-of-town business adventures
- Coordinate with building management, cleaning staff and external vendors on various requests for our office and general maintenance
- Participate in the Social and Health & Safety committee
- In collaboration with our Finance team, support outcomes such as invoicing and receipt tracking, and ensuring office budgets stay on track
- Maintains accounting records, documentation, and files, particularly more complex or sensitive files such as employee files, with a high level of confidentiality and discernment, and judgment
- Assist various departments and C-Suite with administrative support and ad-hoc special where necessary

**WHAT YOU’LL BRING**:

- Exceptional attention to detail and organizational skills
- Strong multitasking and prioritization skills for a fast-paced environment

- A team player with the ability to work effectively and autonomously
- Proactive, self-motivated, resourceful, positive thinker
- Fluency in French & English
- Proficiency with Google Workspace, Microsoft Office Suite, or related software

**EDUCATION & EXPERIENCE**:

- High school diploma, College, and or a combination of equivalent work-related experience - as HR Coordinator, Office Manager or similar positions.
- 2+ years of experience in an administrative or HR support-based role

COMPENSATION

This is a full-time, salaried position with an annual salary range of CAD $57,000 - $68,000 depending on experience plus, generous vacation, and full medical/dental benefits.
