We are seeking a highly organized and detail-oriented Service Accounts Coordinator/ Building Service Dispatcher to join our team at our Calgary office. The function of the Service Accounts Coordinator/ Building Services Dispatcher is to assist in the daily administration tasks required to ensure effective and efficient operation of the Building Services.

In this dual role, you will be an integral part of the Building Service department overseeing the dispatch, billings, and coordination of the team. We are looking for someone who is not afraid of change and can grow with the organization. Our career opportunities offer creative challenges to learn and develop new skills and experiences.

Duties and Responsibilities:

  • Monitor and track unscheduled or open PM work orders.
  • Ensure timely distribution of scheduled PM billings.
  • Track PM contract renewal dates.
  • Preparing pre-qualification documents (COI, WSIB, Form 1000, etc.)
  • Create and assign work orders to technicians.
  • Review and confirm accuracy of technicians' weekly timesheets.
  • Amalgamation of information to allow for project set up.
  • Participate in project handover meetings.
  • Attend regular service meetings.
  • Coordinate subcontractor requirements.
  • Weekly review of work orders and purchase orders.
  • Maintain technician license and training certification records.
  • Support technicians.
  • Qualify every request for service to establish maximum response time requirements.
  • Advise Service Manager / Supervisor of customer complaints to expedite resolution ensuring and maintaining long term relationships. Communicate resolution to the customer.
  • Inform Service Manager / Supervisor of work progress, customer relations, field personnel relations, material administration, and other matters affecting service operations.
  • Determine and dispatch appropriate service representatives to ensure quick and efficient resolution of problems, while building and maintaining customer confidence and satisfaction.
  • Enforce and adhere to the company's policies and procedures and Business Code of Conduct.
  • Perform other duties as may be assigned.

Qualifications and Job Requirements:

  • 3-5 years working in an office environment.
  • Excellent customer service aptitude.
  • Strong communication skills, both verbal and written.
  • Comfortable interacting with clients, operations, and field teams.
  • 2-3 years experience is a strong asset.
  • General understanding of mechanical systems to make appropriate decisions in the scheduling of work.
  • Previous billings experience is highly advantageous.
  • Sufficient knowledge of geographical layout to make logical decisions.
  • Ability to communicate with all levels of the organization, internally and externally, in both verbal and written form.
  • Ability to understand applicable union field Labour agreements to ensure that all assignments made to service representatives fall within the scope and obligation of agreements.
  • Ability to see beyond present assignments and search for new and improved techniques, methods, and processes to upgrade or facilitate work.
  • Individual's ability to plan work to avoid difficult, unnecessary situations. Ability to budget time to maximize utilization of skills.
  • Ability to adapt to new processes and work well under pressure.
  • Exceptional time management and organizational skills.
  • Must be a self-motivated person with the ability to work at fast paced professional level.
  • Ability to work effectively both independently and within a team.
  • Ability to maintain professionalism with high level of integrity.
  • Computer literacy with proficiency in MS Office (Excel, Word, Outlook)
  • Working knowledge of ERP systems
