Under the supervision of the Coordinator - Learning Support, the Assessment & Registration Assistant - ELD provides a variety of information, guidance, and related advice to non-English speaking students, prospective students who are experiencing cultural adjustments and who may have basic or limited English language levels. This position works with School of Access chairs and the Assessment Centre team to support maximum enrolments in related programs and courses. The Assessment & Registration Assistant ELD also schedules, monitors, and invigilates a variety of relevant ELD placement assessments.

TYPICAL DUTIES
  • Coordinates registrations and registers domestic ELD students using the college's integrated database and online registration system;
  • Provides information in various formats and makes referrals to individuals and groups regarding course availability and alternative courses, immigration matters as applicable, and a variety of issues, including cost of programs and available funding relevant to ELD learners;
  • Coordinates and administers ELD placement assessments and completes related objective marking;
  • Communicates with test-takers and students about the status of their application, admission requirements, and course prerequisites for the ELD programs;
  • Uses data-management software to collect and organize related data during related recruitment and admissions processes; provides applicable reports when requested by Supervisor;
  • Maintains the integrity, security, accuracy, and consistency of related student records; understands and applies confidentiality as specified in the Freedom of Information and Protection of Privacy Act;
  • Communicates regularly with Supervisor, ELD chairs and other School of Access employees to participate and make recommendations on student recruitment and admissions initiatives, seek support on and address problems, and enhance service to students;
  • Adapts to changes in college policies and business procedures, and maintains and updates internal procedures manual as required;
  • Maintains an up-to-date knowledge and understanding of admission and academic requirements, policies, procedures/practices, as well as college programs and other offerings, including related systems used by Registration and the college;
  • Communicates regularly with the Assessment Centre team including the Faculty Assessment Leader, and other assessment centre staff to receive information and updates on current testing procedures and data entry;
  • Liaises with key student service departments, external communities/agencies, and organizations to build and maintain relationships and to appropriately refer students;
  • Shares and/or demonstrates ELD assessment and registration procedures to department staff, when requested by Supervisor:
  • Responds to in-person, telephone, and online inquiries; produces related student documents when requested and as appropriate;
  • Completes general departmental duties such as but not limited to telephone/counter service, data entry, ordering/stocking supplies, and filing;
  • Performs other related duties similar in scope and complexity.
Qualifications A two year post secondary diploma and three years of related experience in a post secondary registration or student services environment of which includes one year in a recruiting or advising capacity or an equivalent combination of education and experience
  • Demonstrated experience working with non-English speaking learners/adults in a multicultural setting;
  • Demonstrated customer service skills including understanding the needs of traditional and non-traditional learners and working in an environment that values and nurtures diversity;
  • Demonstrated communication and public speaking skills;
  • Proven interpersonal skills and the ability to work collaboratively in a team-based environment;
  • Demonstrated organizational, problem solving, and decision-making skills to multi-task, meet deadlines, and be flexible and efficient in a fast-paced, changing environment;
  • Experience using an integrated student information database system;
  • Proven computer/technical skills, using all aspects of MS Office suite.
