About the Role

We are seeking an experienced Administrative Support Professional to join our team at Phase One Construction Ltd.

Job Summary

This is a key role that will provide administrative support across various departments, ensuring seamless day-to-day operations. The successful candidate will be highly organized, efficient, and possess excellent communication skills.

Key Responsibilities
  • Front Desk Operations: Manage the front desk, acting as the first point of contact for guests, employees, candidates, and vendors.
  • Office Maintenance: Ensure the office remains clean and organized throughout, including conference rooms, stock and storage rooms, and communal areas.
  • Administrative Tasks: Perform various administrative tasks, including answering and directing phone calls, email correspondence, faxing, filing, meeting minutes, mailings, and deliveries.
  • Support Team Members: Provide ad-hoc support to office and other staff members and departments as needed, including organizing team events both on-site and off-site.
  • Supply Management: Oversee and order office supplies, anticipating requirements, stocking supply stations, and ensuring equipment is in working order.
  • Filing System: Maintain the filing system, contact database, employee list, and inventories.
Requirements and Skills
  • Experience: Proven experience in a back-office assistant, office assistant, virtual assistant, or similar administrative role.
  • Technical Skills: Proficiency in Microsoft Office and aptitude to learn new software and systems.
  • Communication Skills: Good written and verbal communication skills.
  • Time Management: Strong time-management skills and multitasking ability.
  • Education: High school diploma or equivalent.
Compensation Package

The estimated annual salary for this position is $45,000 - $60,000, depending on location and experience.
