About the Role

The Bourse de Montreal Inc. is seeking a highly skilled and experienced Executive Assistant to provide administrative support to senior leaders and executives. This is a unique opportunity to join a dynamic team and contribute to the success of our organization.

Key Responsibilities
  • Provide high-level administrative support to senior leaders and executives, including calendar management, travel arrangements, and correspondence.
  • Coordinate meetings, events, and conferences, including venue booking, catering, and logistics.
  • Prepare and edit documents, reports, and presentations, ensuring accuracy and attention to detail.
  • Manage complex travel schedules, including flight and hotel arrangements, and facilitate logistics for executive meetings.
  • Assist with event coordination, including business development and exchange social events, corporate hosted events, and registration processes.
  • Provide quality control on written documents produced by staff, ensuring consistency and accuracy.
  • Process company bulletins and associated letters, as well as invoices and expense reports.
  • Prepare agendas for meetings and assist with updating and filing department staff documents.
  • Follow up and prepare internal summaries outlining remediation undertaken by issuers.
  • Assist with preparation of department monthly statistical reports.
Requirements
  • College diploma in administrative studies with a minimum of three years experience in a senior administrative role in a corporate environment.
  • Excellent written and verbal communication skills.
  • Bilingual, fluent in French and English.
  • Positive attitude and reliability.
  • Proficient in Google Suite of Products, Microsoft Office, and experience with Salesforce and DOCS Open (PC DOCS Document Management System).
  • Ability to think proactively and be a team player.
  • Strong organizational skills and attention to detail.
  • Sensitivity to confidential matters and discretion is essential.
  • Self-starter, ability to work independently.
  • Willingness to contribute ideas to make process improvements.
  • Personal initiative, professional telephone manner, and customer service focused.
  • Experience in event management and/or project management is an asset.
