Program Service Assistant, Maternal Program Coordinator

About the Role
This is an exciting opportunity to work in a dynamic and fast-paced environment, supporting the Maternal & Child Program. As a Program Service Assistant, Maternal, you will play a critical role in ensuring the smooth operation of the program, providing administrative support and coordinating various activities.
Responsibilities
- Coordinate operational and business matters for the Maternal & Child Program
- Identify, coordinate, analyze, and communicate key program matters and critical issues in a timely manner
- Prioritize action items requiring director's attention through scheduled briefings with the director and preparation of reports on priority projects
- Develop processes for issue management to ensure timely response to incoming requests/issues from internal and external stakeholders
- Provide clear direction and oversight to administrative support within the program portfolio
- Redirect communication within the hospital when receiving information as the point person for the program
- Provide strategic support to advance the priorities of the program portfolio
- Establish meaningful relationships with peers, colleagues, and multiple internal and external stakeholders to advance the program portfolio
- Disseminate information identified as critical for policy formation, process development, and enhancement of public communications within the program portfolio, across portfolios, and between the program portfolio and external partners
- Ensure timely feedback on behalf of the director whenever necessary
Qualifications
- 3 years of recent experience providing senior administrative support in a healthcare setting
- Graduate of a recognized post-secondary education in Business Administration or related field preferred
- Extensive knowledge of hospital processes, legislation, policies, and procedures that affect hospitals
- High level of judgment and discretion when dealing with confidential or sensitive matters
- High degree of attention to detail to ensure accuracy in deliverables
- Creative, resourceful, and flexible
- Excellent communication, time management, and interpersonal skills
- Demonstrated commitment to ongoing learning
- Works independently and in a team environment
- Adapts to changing priorities and manages change involving multiple stakeholders effectively
- Maintains a positive attitude and strong work ethic while managing competing demands
- Completes a multitude of tasks simultaneously within targeted timelines in an organized and efficient manner
- Demonstrated regular, punctual attendance
- Demonstrated commitment to patient safety and the provision of the best possible patient care
- Demonstrates experience in producing printed/electronic publications and other departmental communication

- Has a typing speed of 60 WPM
- Extensive knowledge of Microsoft Word, Excel, PowerPoint, Visio, Windows, MS Project, Internet, and Outlook
- Intermediate MS Access knowledge an asset
- Excellent attendance and discipline-free record required
