Main Responsibilities:

We are seeking an experienced Office Admin to join our team at Inspiretci. The successful candidate will be responsible for coordinating daily product movements, preparing necessary documentation, and confirming product availability in the JDE system.

Key Responsibilities:

  • Documentation: Prepare Bills of Lading, customs paperwork, and pro forma invoices.
  • Coordination: Collaborate with sales teams and customers to ensure smooth product movements.
  • System Management: Confirm product availability and create orders in the JDE system.
  • Warehouse Coordination: Work with the warehouse team to fulfill orders requiring fittings.
  • Customer Interaction: Pre-call customers before shipment to ensure timely delivery.
  • Data Management: Perform data entry tasks in JDE and DSI systems.
  • Communication: Liaise with customer service via email and phone to address inquiries and concerns.
  • Issue Resolution: Investigate and resolve purchase order discrepancies.
  • Logistics Tracking: Monitor and track proof of delivery.
  • Inventory Management: Participate in monthly and year-end inventory processes.
  • Safety Compliance: Ensure third-party personnel have completed the onsite safety video and required safety sign-offs.

Required Skills & Abilities:

  • Bilingual Proficiency: Fluent in English and French.
  • Technical Skills: Familiarity with JD Edwards (JDE) is advantageous. Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Communication: Exceptional written and verbal communication skills.
  • Mathematical Competence: Strong mathematical skills.
  • Physical Requirements: Valid forklift license and ability to lift up to 50 pounds.
