Job Summary

TORONTO GLASS is seeking an experienced Administrative Assistant to join our team. As an integral part of our operations, the successful candidate will be responsible for providing administrative support to our personnel, ensuring the smooth day-to-day functioning of our office.

Key Responsibilities

  • Administrative Support: Provide administrative assistance to our team members, including responding to emails, answering phone calls, and preparing correspondence.
  • Office Management: Maintain our office environment, including ordering supplies, managing inventory, and organizing files.
  • Communication: Develop and implement effective communication strategies to ensure seamless information exchange between team members and departments.
  • Project Coordination: Assist in the planning, organization, and execution of projects, including scheduling appointments, preparing reports, and tracking progress.
  • Financial Management: Perform basic bookkeeping tasks, manage budgets, and maintain accurate financial records.
  • Human Resources: Provide support in the recruitment process, including coordinating interviews, preparing offer letters, and onboarding new employees.
  • Travel Arrangements: Arrange travel itineraries, book flights and accommodations, and prepare travel documents.
  • Reporting: Prepare and distribute reports, including daily, weekly, and monthly summaries.
  • Training and Development: Identify training needs, develop training programs, and implement performance improvement plans.
  • Customer Service: Provide exceptional customer service, including responding to customer inquiries, resolving complaints, and escalating issues as necessary.

Requirements

  • Education: Secondary (high) school graduation certificate
  • Experience: 2 years to less than 3 years
  • Language: English
  • Computer Skills: Google Docs, MS Excel, MS Outlook, MS PowerPoint, MS Windows, Electronic scheduler, Social Media, Accounting software, MS Access, MS Office, Quick Books, Simply Accounting
