POSITION OVERVIEW

The Procurement Specialist plays a vital role in partnering with Procurement Managers on various procurement initiatives, including RFX processes, contract management assessments, and additional supply chain management projects. Key responsibilities encompass conducting client interviews, performing financial analyses, and creating comprehensive communication summaries using Microsoft Word, Excel, and PowerPoint.

PRIMARY RESPONSIBILITIES

Strategic Planning & Execution

  • Collaborates with stakeholders to ascertain business needs.
  • Formulates and proposes strategic plans for managerial review.
  • Executes approved strategic plans effectively.

Sourcing Strategy Development

  • Aids in crafting and endorsing sourcing strategies that optimize value and minimize risks for the organization and its clients.
  • Supports the rollout of the sourcing strategy.

Opportunity Identification & Implementation

  • Discovers cost-saving opportunities for evaluation.
  • Drives enhancements in operational efficiency and cost reductions as a result.

Competitive Bid Management

  • Assists in managing the comprehensive competitive bidding process for strategic initiatives.

Supplier Relationship Management

  • Cultivates and sustains productive relationships with suppliers.

Supplier Contract Management

  • Develops, implements, modifies, and oversees supplier contractual agreements.

Best Practices & Industry Insights

  • Maintains extensive and up-to-date knowledge of category specifics, strategic sourcing best practices, and industry trends.
  • Provides expertise in category management and strategic sourcing.

Vendor Qualification & Onboarding

  • Reviews and approves vendor setup requests and modifications to vendor information.
  • Conducts due diligence for Anti-Bribery and Corruption compliance.

Purchase Order Management

  • Reviews requests and processes purchase orders efficiently.
  • Prepares, dispatches, and archives Purchase Orders daily, adhering to established quality standards.
  • Responsible for the ongoing management of existing Purchase Orders.

Support Functions

  • Utilizes standardized templates for all strategic sourcing activities, including RFx templates, contracts, scopes of work, service level agreements, and letters of agreement.
  • Ensures compliance with Company Policies, Processes, and Work Instructions.
  • Provides support to Procurement team members as needed.

Additional Responsibilities

  • Undertakes other duties and special projects as assigned.

REQUIRED QUALIFICATIONS

  • University degree or professional certification.
  • 5-10 years of relevant professional experience.
  • Familiarity with strategic sourcing principles and practices, with an emphasis on current knowledge.
  • Ability to manage multiple projects concurrently.
  • Proficient in developing and executing supplier contract agreements.
  • Strong analytical and problem-solving capabilities.
  • Proficient in MS Office applications, with the ability to quickly adapt to proprietary databases.
  • Skilled in building and managing relationships with diverse stakeholders.
  • Demonstrates a solid understanding of the organization, processes, and clientele.
  • Capable of performing a variety of straightforward tasks.
  • Utilizes established guidelines or policies to analyze and resolve issues.
  • Operates with a moderate level of guidance and direction.
  • Exhibits emotional intelligence.
  • Upholds a high standard of business ethics and accountability.
  • Displays a strong client service orientation.
  • Maintains integrity and a positive outlook.

  • Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint).

  • Experience in Facilities Management or Property Management is an asset.
  • Proficiency in French is an asset.

Professional Development

  • Partial completion of the Supply Chain Management Professional Designation from the Purchasing Management Association of Canada, or equivalent, is an asset.
