POSITION OVERVIEW

The Procurement Specialist plays a pivotal role in collaborating with Procurement Managers on various procurement initiatives, including RFX processes, contract evaluations, and other supply chain projects. Key responsibilities encompass conducting client interviews, performing financial analyses, and creating comprehensive communication summaries using Microsoft Word, Excel, and PowerPoint.

PRIMARY RESPONSIBILITIES

Strategic Planning & Execution

  • Engage with stakeholders to ascertain business needs.
  • Formulate and propose strategic plans for managerial review.
  • Execute strategic initiatives effectively.

Sourcing Strategy Development

  • Aid in crafting and endorsing sourcing strategies that optimize value and mitigate risks for the organization and its clientele.
  • Support the implementation of the sourcing strategies.

Opportunity Identification & Implementation

  • Pinpoint cost-saving opportunities for evaluation.
  • Drive enhancements in operational efficiency and cost reductions.

Competitive Bid Management

  • Facilitate the comprehensive competitive bidding process aligned with strategic objectives.

Supplier Relationship Management

  • Cultivate and sustain effective partnerships with suppliers.

Supplier Contract Management

  • Develop, implement, modify, and oversee supplier contracts.

Strategic Sourcing Expertise & Market Trends

  • Maintain up-to-date knowledge of category specifics, strategic sourcing best practices, and industry trends.
  • Provide expertise in category management and strategic sourcing.

Vendor Qualification & Onboarding

  • Review and authorize vendor setup requests and modifications.
  • Conduct due diligence related to Anti-Bribery and Corruption.

Purchase Order Management

  • Evaluate requests and process purchase orders efficiently.
  • Prepare, dispatch, and archive purchase orders daily, adhering to established quality standards.
  • Manage the ongoing maintenance of existing purchase orders.

Support Functions

  • Utilize standardized templates for all strategic sourcing activities, including RFx documents, contracts, scopes of work, service level agreements, and letters of agreement.
  • Ensure compliance with company policies, processes, and work instructions.
  • Provide support to procurement team members as necessary.

Additional Responsibilities

  • Undertake other duties and special projects as assigned.

REQUIRED QUALIFICATIONS & SKILLS

  • University degree or professional certification.
  • 5-10 years of relevant experience.
  • Comprehensive understanding of strategic sourcing principles and practices.
  • Ability to manage multiple projects concurrently.
  • Proficient in developing and executing supplier contracts.
  • Strong analytical and problem-solving capabilities.
  • Proficient in MS Office applications with the ability to learn proprietary systems quickly.
  • Strong relationship-building skills with various stakeholders.
  • Knowledgeable in own discipline and continues to expand understanding of the organization, processes, and clients.
  • Capable of performing a range of straightforward tasks.
  • Uses established guidelines to analyze and resolve issues.
  • Receives moderate guidance and direction.
  • Demonstrates emotional intelligence.
  • Upholds high standards of business ethics and accountability.
  • Exhibits a strong client service orientation.

  • Experience in Facilities Management or Property Management is advantageous.
  • Proficiency in French is a plus.

Professional Certifications

  • Completion of Supply Chain Management Professional Designation from the Purchasing Management Association of Canada, or equivalent, is preferred.
