Position Overview

Under the general supervision of the President and Chief Executive Officer (PCEO), this role is responsible for delivering confidential and efficient administrative assistance to the WRHA Board of Directors and its Committees. Key responsibilities include:

  • Acting as a key point of contact between the Executive Office and the Board.
  • Coordinating and attending meetings, preparing minutes, and following up on action items.
  • Ensuring compliance with Board governance requirements.
  • Organizing orientation sessions for new board members and maintaining current membership lists.
  • Compiling and distributing meeting materials through internal platforms.
  • Communicating with the Board Chair and members as necessary.
  • Drafting correspondence as requested by the Board Chair.
  • Maintaining organized files of Board materials and preparing annual work plans for Committees.
  • Handling special assignments as required.

Qualifications

Education

  1. Completion of a recognized Administrative Training Program from an accredited institution.
  2. Additional coursework in administration or project management is preferred.

Experience

  1. A minimum of five (5) years of administrative experience supporting senior leadership.
  2. At least two (2) years of experience in board governance and meeting facilitation.
  3. An acceptable combination of education and experience may be considered.

Skills and Abilities

  1. Experience in an administrative or coordinator role, preferably within a healthcare environment.
  2. Ability to work independently while collaborating with skilled professionals.
  3. Excellent typing skills, with a minimum of 65 words per minute.
  4. Proficiency in Microsoft Office Suite and the ability to learn new software as needed.
  5. Strong understanding of organizational governance and structure.
  6. Exceptional planning, organizational, and interpersonal skills.
  7. Outstanding verbal and written communication abilities.
  8. Experience in minute-taking and information synthesis.
  9. Ability to thrive in a fast-paced environment and meet deadlines effectively.
  10. Demonstrated problem-solving capabilities.
  11. Proven track record of maintaining confidentiality and handling sensitive information discreetly.
  12. Project management skills are preferred.

Additional Requirements

  1. A satisfactory employment record is essential.
  2. Legal eligibility to work in Canada is required.
  3. Proficiency in French is considered an asset.

Working Conditions

  1. Ability to work in a standard office environment with frequent meetings at various locations.
  2. Occasional meetings may require attendance outside of regular business hours.
