Position Overview

Under the general supervision of the President and Chief Executive Officer (PCEO), this role delivers confidential and efficient administrative assistance to the WRHA Board of Directors and its Committees. Key responsibilities include:

  • Acting as a liaison between the Executive Office and the Board.
  • Preparing, coordinating, and attending board meetings, including the documentation of minutes and follow-up on action items.
  • Ensuring compliance with governance requirements.
  • Organizing orientation sessions for new board members and maintaining current membership lists.
  • Compiling and distributing meeting materials through appropriate channels.
  • Communicating with the Board Chair and members as necessary.
  • Drafting correspondence as requested by the Board Chair.
  • Maintaining organized files of board materials.
  • Developing annual work plans for Board Committees and managing special assignments as needed.

Qualifications

Education

  • Completion of a recognized Administrative Training Program from an accredited institution.
  • Additional coursework in administration or project management is preferred.

Experience

  • A minimum of five (5) years of administrative experience supporting senior-level executives.
  • At least two (2) years of experience in board governance and meeting facilitation.
  • Equivalent combinations of education and experience may be considered.

Skills and Abilities

  • Experience in an administrative or coordinator role, preferably within a healthcare environment.
  • Ability to work independently while collaborating with skilled professionals in a team setting.
  • Proficient keyboarding skills at a minimum of 65 WPM.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, Access, PowerPoint) and the ability to learn new software as needed.
  • Capability to understand the organization’s governance structure and relationships.
  • Exceptional planning, organizational, and interpersonal skills.
  • Excellent verbal and written communication skills.
  • Experience in minute-taking and synthesizing information effectively.
  • Able to thrive in a fast-paced environment and manage deadlines efficiently.
  • Demonstrated problem-solving abilities.
  • Proven track record of maintaining confidentiality and handling sensitive information discreetly.
  • Project management skills are an asset.

Additional Requirements

  • Must have a satisfactory employment record.
  • Must be legally authorized to work in Canada.
  • Proficiency in French is considered an asset.

Working Conditions

  • Ability to work in a standard office environment with frequent meetings across various locations.
  • Occasional attendance at meetings outside of regular business hours may be required.
