Position Overview:

The Executive Administrative Coordinator plays a pivotal role in providing comprehensive administrative assistance to the Executive Director, Music Director, and the Board of Directors. This position is essential for fostering effective communication and supporting various strategic initiatives within Creative Manitoba.

Key Responsibilities:

  • Oversee the calendars of the Executive Director and Music Director, ensuring efficient scheduling of appointments, meetings, and travel logistics.
  • Prepare and curate materials for board meetings, committee gatherings, and management discussions, including agendas and presentations. Coordinate catering services as necessary.
  • Attend meetings to document minutes and ensure timely follow-up on action items.
  • Manage confidential information with the utmost discretion and professionalism.
  • Draft, edit, and proofread various forms of correspondence, reports, and presentations.
  • Promote effective communication and collaboration across different departments.
  • Organize logistics for Board Meetings, including the preparation of meeting packages and tracking RSVPs.
  • Maintain the organization’s bylaws and board records, and assist in coordinating the Annual General Meeting in collaboration with the Board Chair and Executive Director.
  • Ensure systematic organization of both electronic and paper files.
  • Support the Executive Director with special projects, research, and other initiatives as needed.

Qualifications:

  • A minimum of 3 years of experience in a similar role, ideally within a nonprofit setting.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat Pro.
  • Exceptional organizational and time management abilities, with a knack for prioritizing and managing multiple responsibilities.
  • Strong written and verbal communication skills, including proficiency in editing.
  • Basic graphic design skills on platforms like Canva are advantageous.
  • High integrity and the capability to handle sensitive and confidential information.
  • Excellent interpersonal skills, with the ability to engage effectively with diverse groups.

Compensation:

The salary range for this position is between $45,000 and $55,000, based on experience. Employees are eligible for a comprehensive benefits package, including a matching RRSP contribution program. Creative Manitoba offers significant opportunities for professional growth and advancement.
