Position Overview

Join Vancouver Coastal Health (VCH) as a Manager of Surgical Scheduling and Optimization.

Vancouver Coastal Health is seeking a dedicated Manager of Surgical Scheduling and Optimization to oversee surgical scheduling operations. Reporting to the Operations Director of Surgical Services, this role is pivotal in managing daily operating room (OR) schedules, optimizing surgical time, and analyzing waitlist data to ensure compliance with health management policies.

The manager will coordinate operational improvements across various surgical programs, working closely with multiple healthcare facilities. This position will integrate surgical programs with health information systems to enhance operational efficiency and effectiveness.

Key Responsibilities:

  • Finalize daily OR schedules across various sites, including private facilities.
  • Oversee the reallocation of OR time to enhance utilization and efficiency.
  • Directly manage the OR Booking Team and supervise scheduling staff.
  • Ensure alignment with health management priorities and regional initiatives.
  • Facilitate effective communication between surgical programs and healthcare providers.
  • Manage error correction and waitlist processes to ensure accurate reporting.
  • Provide leadership and mentorship to staff, addressing performance issues as necessary.
  • Develop training programs for surgical staff to enhance understanding of operational strategies.
  • Collaborate with other facilities on waitlist management initiatives.
  • Assist in identifying strategic directions related to surgical scheduling.
  • Stay informed on current surgical trends through research and professional development.
  • Perform additional duties as assigned.

Qualifications:

Education & Experience:

  • Master's degree in Health Administration, Business Administration, or a related field.
  • Five years of relevant experience in a healthcare setting, or an equivalent combination of education and experience.
  • Experience in strategic planning and system implementation in a multi-site healthcare environment.

  • Strong communication skills, both verbal and written, with the ability to engage staff at all levels.
  • Ability to build collaborative relationships that foster a positive work environment.
  • Demonstrated leadership and interpersonal skills in a multidisciplinary setting.
  • Comprehensive understanding of healthcare administration and operational planning.
  • Proficient in budget development and financial analysis.
  • Experience in managing complex projects with strict timelines.
  • Effective time management and resource allocation skills.
  • Ability to prepare reports and business proposals for senior management.
  • Strong analytical skills to support large organizational operations.
  • Ability to implement and assess system changes across multiple sites.
  • Creative problem-solving skills with a holistic approach.
  • Proficient in relevant computer applications.
  • Commitment to continuous improvement in work processes.
  • Ability to negotiate and persuade effectively.
