Your Contribution

As an Office Coordinator at GSI Environnement Incorporé d'Filial Englobe, you will collaborate closely with the Administrative team to ensure smooth operations.

Your primary responsibilities will include:

  • Implementing and advocating for health and safety protocols;
  • Performing receptionist duties such as welcoming and assisting visitors, managing incoming and outgoing mail, and handling phone inquiries;
  • Overseeing the onboarding and offboarding processes for staff;
  • Delivering outstanding customer service to both internal teams and external clients;
  • Assisting with project-related tasks including document preparation, formatting, reproduction, scanning, binding, and filing;
  • Conducting research, gathering data, and preparing comprehensive documents;
  • Managing administrative tasks such as maintaining filing systems and databases, organizing schedules, coordinating meetings and travel arrangements, and managing office supplies;
  • Providing financial support including Accounts Receivable tasks and invoice processing;
  • Executing established technical procedures and adhering to safe work practices;
  • Coordinating the vehicle fleet for operational needs;
  • Addressing and resolving inquiries from staff;
  • Handling insurance requests;
  • Processing permit applications;
  • Carrying out additional related duties as required.
Your Profile
  • Post-secondary education or diploma in Office Administration or Business Administration is preferred;
  • Willingness to travel between various work sites as necessary;
  • A minimum of one year of experience in an administrative capacity within an office setting is essential;
  • Experience in a similar role within a Consulting, Engineering, or Scientific firm is advantageous;
  • Exceptional proficiency in written and verbal English communication;
  • Strong skills in Microsoft Office applications, particularly Word, Excel, PowerPoint, and Outlook;
  • Expertise in preparing PDF reports with navigational features for ease of access;
  • Familiarity with environmental business practices and service lines is a plus;
  • Strong research and writing capabilities, with the ability to present information clearly and concisely;
  • Excellent organizational skills, with a proven ability to establish and maintain effective organizational systems;
  • Capacity to meet tight deadlines, manage multiple tasks, and thrive in a dynamic environment;
  • Demonstrated commitment to occupational health and safety considerations.
