Key Responsibilities:
- Deliver comprehensive administrative and office management assistance to the department's leadership and managers as needed.
- Organize travel itineraries, arrange transportation, and secure accommodations for senior executives and occasionally their team members.
- Oversee the logistics of departmental programs, including meetings, seminars, workshops, special initiatives, and events (such as awards ceremonies and social gatherings).
- Document meeting minutes, monitor action items, and maintain essential systems and records for procurement initiatives.
- Direct and/or redirect phone calls, emails, or visitors as necessary.
- Prepare expense reports, process invoices, and perform related tasks.
- Exhibit a positive and professional demeanor to all visitors, suppliers, inquiries, and other stakeholders.
- Assist with personal tasks as required (such as arranging lunches and running errands).
Qualifications:
- Post-Secondary Diploma in Business Administration or a related field.
- In-depth understanding of office protocols and practices.
- Quick learner with a strong attention to detail.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Adaptable and resourceful, with a strong desire to contribute to a collaborative team environment.
