Administrative Support Specialist

Stantec is seeking a highly organized and motivated Administrative Support Specialist to join our dynamic team in Montreal.
In this role, you will provide essential administrative support to our architectural and urban planning services, ensuring smooth operations and contributing to the success of our projects.
Your Responsibilities:
- Provide comprehensive administrative support to project directors, including scheduling meetings, coordinating travel arrangements, and managing calendars.
- Assist with proposal writing, client follow-ups, and other project administrative tasks, ensuring accuracy and attention to detail.
- Manage office equipment orders and maintain inventory, ensuring efficient workflow and resource allocation.
- Handle logistics for group meetings, events, and special occasions, demonstrating strong organizational and planning skills.
- Format and handle various documents, ensuring professional presentation and adherence to company standards.
- Maintain accurate filing systems and ensure efficient document retrieval, contributing to a well-organized and accessible workspace.
Your Profile:
- Proven experience in office administration or a related field, demonstrating proficiency in administrative tasks and procedures.
- Excellent communication and customer service skills, enabling effective interaction with colleagues, clients, and stakeholders.
- Fluency in French and English, both written and spoken, facilitating clear and concise communication.
- Ability to work independently and as part of a team, demonstrating adaptability and collaboration skills.
- Highly organized, detail-oriented, and meticulous, ensuring accuracy and efficiency in all tasks.
- Proficiency in MS Office Suite, including Word, Excel, and PowerPoint, enabling effective document creation and management.
