**ADMINISTRATIVE OFFICER, HUMAN RESOURCES SERVICES**
The Upper Grand District School Board (UGDSB) employs approximately 4,000 dedicated staff who serve more than 35,000 students attending a variety of programs across 65 elementary and 11 secondary schools as well as continuing education and adult learning centres in the counties of Dufferin, Wellington, and the City of Guelph. The UGDSB covers the ancestral and treaty lands of the Mississaugas of the Credit, the Six Nations of the Grand River, and Saugeen Ojibway Nation.
**LOCATION**:Guelph Board Office (500 Victoria Rd. N, Guelph, ON)
**SALARY RANGE**:$55,337 to $69,171 per year (under review); 35 hours per week

The UGDSB is seeking a dynamic individual to join our Human Resources team in the capacity of **Administrative Officer, Human Resources Services**. Reporting to the HR Services Manager, this role is responsible for managing employee absence requests, providing support for daily attendance transfers, and acting as the primary contact for the HR department newsletter.
The Administrative Officer, Human Resources Services assists other areas within the department and coordinates HR related projects to support the organization.
**Responsibilities Include**:
- Owns the short-term leave requests for all employee groups consistent with Board policy and provisions of collective agreements. This includes Board Policy 411 Leave Requests, Inclement Weather and Unpaid
- Absence Days (UAD). Reviews, makes decisions, and provides recommendations for any requests that fall outside the approved process.
- Communicates denied leaves to employees, supervisors, and/or union representatives. On an ongoing basis, reconciles and analyzes leaves to ensure compliance with Board policies.
- Ensure appropriate coding of absences and deductions for unpaid absences.
- Provides support for daily attendance transfers for all employee groups.
- Respond to internal and external HR related inquiries or requests through the HR general inbox.
- Using Excel and/or various HR systems, prepares and maintains accurate and detailed reports (e.g., employee absences, absence reasons, inclement weather).
- Collaborates with HR team members and other Board departments to develop best practices related to organizational efficiency. Examples include creating new forms, processes, and workflows. As part of this, communicates with employees, gathers feedback, launches new or updated processes, and provides training as required.
- Using SharePoint, communicates HR updates to employees. Acts as the main contact for HR department newsletter. Meets with various member of the team to gather updates on their respective projects and HR area, researches topics to share with the organization, selects employees to interview for the newsletter, and seeks feedback from other departments on additional content to include to benefit our employees.
- Performs other duties to support the HR Services team as assigned.
**Qualifications**:
- Post-secondary degree or diploma in Human Resources, Business Administration, or a related discipline.
- Attained, or actively working towards Certified Human Resources Professional (CHRP)
- Minimum of one (1) to three (3) years human resources administrative experience in a fast-paced environment.
- Strong organizational, problem solving, and analytical skills with an intermediate knowledge of Microsoft Office suite (Word, Excel, PowerPoint, Visio, and Outlook), HRIS, Attendance Management Software (SDS and SmartFind), Google-based products, Canva, and SharePoint.
- Previous experience in public sector and/or unionized environments considered to be an asset.
- Ability to work independently in an organized manner, and collaboratively in a team-based environment.
- Excellent oral and written communication skills and the ability to communicate effectively, professionally, and courteously with all levels of staff, external contacts, and general public.
- Well-organized, enthusiastic, professional and a positive team member.
