Resource Administrator

New Directions is a social service agency offering a wide range of resources and services that foster people’s hopes and dreams in their communities.
The **Resource Administrator** works as part of the Family Therapy and Multidisciplinary Assessment & Consultation Centre (MACC) teams, acting as first-point of contact at front reception by creating a welcoming environment to individuals arriving to receive services. The Administrator is responsible for providing a range of administrative support that is key to the day-to-day operations of the teams. The Administrator is also involved ensuring data is collected, documented, entered, and maintained with accuracy.
Responsibilities include, but are not limited to:
- Serves as a first point of contact for individuals arriving for Family Therapy and MACC appointments by directing flow of traffic and ensuring a clean, organized, and welcoming environment.
- Maintains waiting room materials such as calendars, brochures, bulletin boards, library books, and hospitality areas.
- Administrative tasks for Family Therapy and MACC groups, including but not limited to maintaining incoming / outgoing mail, taking meeting minutes, room bookings, photocopying & printing, faxing, and record keeping.
- Organizes office supplies and professional materials (evaluation tools etc.) and maintains records such as invoices of all supplies ordered; maintains supplies in storage.
- Verifying timesheets and submitting to Payroll / Accounting for processing.
- Supports team using departmental calendars, monthly reminders, departmental forms, and various trackers.
- Documents and supports team in the completion of expense trackers, mileage forms, and financial reconciliations.
- Supports in the maintenance of the clinical library, such as managing journal subscriptions, updating library database, and copying professional articles
- Minimum of one (1) year of experience in an administrative role, preferably in the non-profit sector or within a clinic setting.
- Post-secondary education (degree or diploma) in Business Administration (or a related field) from a recognized post-secondary institution. A combination of education and experience may be considered.
- Excellent customer service abilities; sensitivity to customer issues and understanding the importance of diplomacy and confidentiality.
- Clear and concise verbal and written communication skills.
- Proficiency in Microsoft Office suite, including Outlook, Excel, Work, PowerPoint and SharePoint.
- Fluency in American Sign Language is considered an asset
