**POSITION**:ADMINISTRATIVE ASSISTANT**

**DEPARTMENT: CAHRD EXECUTIVE OFFICE**

**SALARY/WAGE: $50,000.00 annually**

**POSITION TYPE: Full-time, 37.5 Hours/Week.**

**JOB SUMMARY**

The Administrative Assistant has a key role in delivering administrative and project support to ensure the smooth and efficient functioning of the Executive Services. Positioned within the Executive Office, this role handles confidential information and provides essential support to the Co-Executive Directors, Executive Assistant, and Human Resources Department.

**PRIMARY DUTIES AND RESPONSIBILITIES**

**Administrative**
- Assists with processing incoming and outgoing information as needed.
- Provides high-level administrative support to Executive staff.
- Provides administrative support related to public relations and events.
- Assists with maintaining databases, confidential records, mailing lists and updates as needed.
- Assists in the scheduling and coordination of meetings, workshops, training or events, etc.
- Routinely prepares executive reports, letters, memos and other confidential correspondence as needed.
- Greets visitors in a prompt and courteous manner and refers them to the appropriate party.
- Able to coordinate data and assisting with preparing information for reports and/or proposals when required.
- Performs other related duties as required.

**Project Management**
- Ability to review and recommend changes to company policies.
- Able to track deliverables and provide updates when required.
- Ensure quality assurance is maintained.
- Ability to meet tight deadlines.

**REQUIREMENTS**
- Proficiency in computer programs, including Microsoft Office Suite and electronic storage.
- MS Word and MS Excel - Advanced Level.
- PowerPoint - Basic Level.
- MS Outlook - Advanced Level.
- Database - Intermediate Level.
- Advanced knowledge of administrative or operational procedures and processes is required.
- Communications - strong verbal and written communication skills required.
- Administrative certificate or diploma combined with 3+ years’ work experience in an office environment as an Administrative Assistant.
- Valid Class 5 Driver’s License required.
