**Administrative Assistant - Psychiatric Nursing Program (RDPN)**

We have an immediate opening for an **Administrative Assistant** within our **Regional Diploma in Psychiatric Nursing (RDPN) Program **The Administrative Assistant plays a crucial role in ensuring the smooth operation of administrative tasks within the RDPN program**.**

This position encompasses a diverse range of responsibilities, including organizational support for the Program Dean, Program Director, Student Services Manager, Department Managers, and governance structures. Key duties include maintaining academic records, collecting data and assisting with report compilation, managing electronic files and maintaining version control, creating, formatting, and finalizing documents, scheduling meetings and taking minutes, as well as handling special projects.

**Duties and Responsibilities**:

- Program Administrative Support: Assist with student orientations, data entry, manage student grade submissions, maintain the Student Administrative System (SAS), issue transcripts and distribute academic credentials to graduates.
- Meeting Organization and Documentation: Organize program meetings, create agendas and minute documents, track actionable items and attendance, and maintain SharePoint files according to file management guidelines.
- Data Management and Analysis: Create and maintain documentation for tracking program data, utilizing tools for data analysis (graphs, charts, etc.). Organize tasks and projects using Microsoft Planners, maintain departmental trackers, and report data to department teams. Engage in professional report writing and data tracking for regulatory agencies.
- Curriculum Support: Provide administrative support for curriculum development, including the creation of documents, learning materials, and manuals. Assist with administrative tasks related to curriculum initiatives.
- Student Services Support: Work with the Student Services Manager to compose and send various student-related letters and collaborate on the Student Newsletter.
- Administrative Support for Departmental Managers, Program Director, and Dean: Provide comprehensive end-to-end administrative support to departmental managers, the Program Director, and the Dean. This includes assisting with scheduling, organizing, and coordinating meetings, preparing agendas and taking minutes, managing communications, maintaining departmental files and documentation, and handling various administrative tasks to ensure smooth and efficient operations.

**Minimum Qualifications**:

- 2-3 years of recent work experience within an administrative role with experience in writing and preparing business communications; administrative leadership experience an asset.
- Diploma/Certificate in Business Administration/Leadership/Management/Education/ Communications or Marketing an asset.
- Computer Proficiency, including Microsoft Office Suite (Word, Excel, Planner, SharePoint, etc.) and Adobe Acrobat.
- Experience with learning management systems (e.g. Moodle) and eLearning development tools such as Camtasia is an asset.
- Accurate keyboarding skills of 50 wpm.

Pay: $47,000.00-$52,000.00 per year
