**JOB OVERVIEW: ADMINISTRATIVE ASSISTANT**
The Administrative Assistant is responsible for providing exemplary administrative support within the Office of the Provost while maintaining confidentiality and discretion. This position ensures consistent office operations by working closely with the Executive Assistant and Confidential Assistant and provides backfill support for these positions as appropriate, when required. The incumbent is expected to exercise a high degree of diplomacy, tact, and good judgment, and to possess exceptional customer service and communication skills.
The Office of the Provost currently has a hybrid work arrangement. This position will also be eligible.
**EDUCATION AND EXPERIENCE**
- A bachelor's degree
- Minimum 2 years administrative experience in a post-secondary or Executive-level environment
- Or an equivalent combination of education and experience
**QUALIFICATIONS**
- Proven ability to handle confidential matters and materials with tact and discretion.
- Proven ability to compose standard forms of business communication such as memoranda, business correspondence, minutes of meetings, etc.
- Superior communication skills, including excellent oral and written skills.
- Proven ability to effectively manage and prioritize time in order to complete tasks, meet changing priorities, work to deadlines, and make responsible decisions while maintaining high levels of customer service in an administrative environment with multiple demands and frequent interruptions.
- Working knowledge of routine office systems and procedures, including standard filing systems, clerical control systems, record-keeping, etc.
- Demonstrated initiative, organizational, and decision-making skills.
- Demonstrated experience with administrative support in a post-secondary or Executive-level environment.
- Experience with financial budgets, reports, etc. is an asset.
- Demonstrated ability to work independently and as a team member.
- Ability to key 50 wpm with a high degree of accuracy.
- Knowledge of post-secondary governance systems is an asset.
- Ability to travel between campuses may be required.
- Flexible in scheduling as occasionally hours outside of regular work hours may be required.
