We are seeking a reliable, dedicated assistant manager with strong leadership, organizational skills, and a passion for delivering exceptional patient care to support our team and help optimize our clinic’s operations.

Our fast-paced, multidisciplinary clinic includes physiotherapists, chiropractors, massage therapists, and a naturopathic doctor, all committed to providing excellent care. We need a proactive, highly organized, and efficient leader to manage day-to-day operations, enhance inter
- and intra-office communication, streamline administrative processes, supervise staff, and oversee task delegation.

**Key Responsibilities**:

- Execute tasks assigned by the operations manager, clinic director, or owner.
- Oversee daily clinic operations, including training and onboarding new staff.
- Develop and implement policies to ensure compliance with healthcare regulations.
- Coordinate with insurance companies to facilitate patient care.
- Maintain accurate and up-to-date patient records.
- Oversee patient scheduling and referrals, coordinating care with providers.
- Educate patients about available services and procedures.
- Engage in network assessments, billing, collections, and scheduling.
- Assist with administrative duties such as maintaining patient files and preparing reports.

**Additional Responsibilities**:

- Implement new protocols and procedures.
- Manage patient bookings, online billing, insurance (MVA/WSIB) billing, bookkeeping, collections, bill payments, and payroll.
- Support general office administration, including invoicing and organizing patient notes.
- Enhance staff and client retention through communication and follow-up.
- Facilitate inter-clinic communication between the medical walk-in and rehab clinics.
- Schedule and conduct staff meetings, coordinate training, and lead collaborative problem-solving with admin and clinical staff.
- Serve as a liaison between management and staff, fostering a team atmosphere through effective leadership.
- Order and manage office supplies as needed.
- Coordinate marketing material and maintain clinic cleanliness.
- Track clinic statistics and manage vendor relationships, including marketing and technology partners.
- Support social media marketing efforts.

**Qualifications**:

- 2-5 years of management experience.
- Genuine commitment to patient service and the ability to exceed expectations.
- Creative mindset with a proactive approach to process improvement.
- Strong leadership skills and commitment to our systems and processes.
- Independent decision-making skills with the ability to multitask under pressure.
- Fluent in English with a compassionate and confident demeanor.
- Bachelor’s degree, college diploma, or relevant healthcare experience preferred.
- Experience in clinical or office settings is essential.
- Proficient in organizational skills, problem-solving, and computer use.

**Position Details**:

- 20-35 hours per week, with 4-8 hour shifts Monday through Saturday.
- Availability for weekend, evening, and on-call shifts is required.
- Opportunity for professional growth.
- Starting wage of $18-22 per hour, with incentives

**Job Types**: Full-time, Part-time, Permanent, Fixed term contract
Contract length: 12 months

Pay: $18.00-$22.00 per hour
